Before

I used to have no idea how much time I was spending on each client. I’d overwork myself on certain projects (usually the ones that felt the most urgent or emotionally loaded) while completely neglecting others. Not because I didn’t care—just because…. ADHD. Out of sight, out of mind. No clear visibility. No rhythm. Just chaotic urgency and guilt.

I also had no way to know when I’d done enough work in a day or week. I was either going way overboard or mentally checking out—and had no clue which one until I burned out or fell behind.

If I was avoiding a project, I wouldn’t realize it. I’d just feel weird and spiral. Cleaning random things. Pacing. Doing everything except the work, and having no idea why.

After

I built two systems to solve this:

1. Internal Hourly Tracker (Capacity Tracking)

This tracks the hours I spend per client each month, compares it to their assigned allotment (based on their service type), and shows whether I’m on track or going overboard.

Here’s how it works:

  • Every client has a monthly hour cap.

  • I log my time by tying it to tasks or actions in Notion.

  • My tracker automatically shows percentage used, visual cues (green/yellow/red), and whether I’m trending ahead, behind, or just right.

  • I even get pacing suggestions for how much time to spend per client this week based on where I’m at.

  • This is all based on flexible targets to also avoid perfectionism and creating a feeling of being behind” if I’m not sticking to 100%… because LIFE.

Now I know when to stop working and where to shift my focus.

2. Project Check-In Process (Executive Dysfunction Regulator)

Every Monday and Friday, I get prompted to do a quick project check-in for each active project. The questions are simple but strategic—they’re designed to uncover the exact things that tend to derail me:

  • Where did I leave off?

  • What’s the next step?

  • Am I hitting any perfectionism, RSD, shame, or emotional spiraling?

  • Do I need more info from the client or do I need to research anything before I can move forward?

This process helps me:

  • Keep projects front-of-mind

  • Stay emotionally ahead of avoidance cycles

  • Know where I’m stuck before it becomes a panic spiral

  • Shift from dread to clarity in under 5 minutes

  • It keeps me MOVING without “PUSHING”

Key Outcomes

  • More balanced hours. I’m no longer overdelivering out of guilt or underdelivering out of avoidance.

  • Clear capacity visibility. I know exactly how booked out I am (and how to pace myself).

  • Reduced shame spirals. I catch emotional roadblocks early and untangle them.

  • Better boundaries. I can see when I’m overworking and actually pull back.

  • Way more regulated. My brain isn’t constantly buzzing with “what am I forgetting?”

Why It Works

This combo system gives me structure and emotional safety. The hourly tracker shows me when to slow down or shift gears. The check-in process gives me the clarity I need to get moving again when I’m stuck. Together, they keep me out of spirals and in a steady rhythm.

This is how I stay consistent—not by forcing myself to be productive, but by building a system that does the thinking for me.
