Voice-to-Task Capture for a Fast-Paced Creative Business Owner

What Wasn’t Working

Client S is a creative powerhouse with a million ideas and tasks flying through her brain at any given moment. The problem wasn’t just task management… it was task capture. Her brain moved way faster than her fingers could type, and by the time she sat down to enter things, half of it was gone. She needed a system that could keep up with her, without interrupting her natural flow.

What We Built

We built her a custom task management system in Notion so she could easily delegate to her team, track the status of everything, and keep notes and conversations in one place. But what really made it WORK was how we helped her get tasks into the system in the first place.

We integrated a tool called Cleft — an app that lets her voice note her thoughts, automatically transcribe them, and summarize them with AI. Then we layered in a Zapier automation that:

• Extracts clear action items from her voice notes using AI

• Adds each task individually into her Notion system, categorized under a special “AI imported” inbox to give her and her executive assistant a simple queue area to process, add context, and delegate as needed instead of instantly adding all captured tasks right into the mix with everything else

Now, Client S can do a messy brain dump straight from her phone the way it feels most natural and everything lands in her system in a way that still feels clean and organized.

The Outcome

Instead of relying on her brain to remember or her fingers to keep up, the system does the heavy lifting. It reduced the friction between “I had a thought” and “it’s in the system now.” and her EA can easily help her sort through it without needing her to repeat herself or backtrack later. It’s a perfect example of meeting a fast-moving brain where it’s at, while still supporting follow-through.
