What Wasn’t Working

Before, Client J would gather notes during an Interior Design consultation, then go home and manually recreate everything: pricing sheets, project setup, task lists, schedules, and item lists. It was tedious and time-consuming. Every quote required custom math. Every project had to be built from scratch.

What We Built

We created a mobile-friendly project setup + consultation calculator that does everything in the background while she’s taking notes. Now, during a consultation, she opens Notion and:

• Logs room info (room type, size, ceiling height, location, etc.)

• Selects design tier (good / better / best) per room

• Notes design preferences and required items

• Clicks to generate pre-built task templates and phase schedules for that project

• Links room details to procurement tracking, so every item can be organized by room

Meanwhile, the calculator:

• Auto-builds a live project quote based on her pricing structure, tier selected, and room specs

• Shows the client good / better / best options side by side

• Lets Client J (or her client) select tiers room-by-room and instantly generates a total project quote including shipping and white-glove delivery.

• Captures all this without needing to copy/paste or switch tools later

The Outcome

She can now show up to a consultation, open her laptop or iPad, and handle everything in one place—while it all builds itself behind the scenes. She no longer has to redo her work later or guess at pricing. Quotes are ready by the end of the meeting. Project setup happens instantly. Procurement tracking is already aligned. It’s faster, more accurate, and designed to match how she actually works.

Instead of juggling five different systems (and in her words, switching through a million apps/screens) and workflows after every consult, she’s just following her natural process—gathering information and taking notes—and the system handles the rest. It’s dramatically reduced how much energy and time she has to spend setting up new projects and pricing them accurately. And because everything is centralized, connected, and auto-calculating, it’s easier to maintain, easier to delegate, and way easier to trust.
